
Ceremony supplier terms and conditions
1. Documentation, Declaration, and quality of service
1.1 The Supplier must provide documentation proving they are a legal entity, with the right to work in the UK.
1.2 The Supplier acknowledges that being placed on the London Borough of Lambeth’s Local Supplier List is for promotional and advertising purposes to third party customers only; it is not a direct engagement of services or a contract with the Council and is not a guarantee that services will be purchased.
1.3 The Supplier acknowledges that Lambeth Council is committed to policies that support accessibility, equality, and diversity through its services and agrees to adhere to those same policies in the provision of their goods and services.
1.4 The Supplier confirms their commitment to transparent pricing and good quality goods and services in respect of ceremony supplies.
1.5 The supplier agrees to support and promote Ceremony services where possible on social media and to customers. This includes attending quarterly wedding tours where possible.
2. Damages, Cleaning and Electrical equipment
2.1 The Supplier acknowledges and agrees that they are responsible for clearing away all debris and litter from any rooms used in the Town Hall and Registry Office and this includes ensuring they have adequate refuse and recycling bags for use. All rubbish and recycling must be removed from the Town Hall and Registry Office. Any leftover debris, litter, bags of rubbish or recycling will be charged a standard cleaning fee.
2.2 If the Supplier needs to use the Town Hall waste bins, Security Staff will escort them to the bin store location at end of their booking. Multiple trips cannot be accommodated into the staff area.
2.3 The Supplier agrees that it will endeavour to only bring electrical equipment into the Premises for use such as catering equipment and production equipment which is PAT pass certified. Any brought in that does not have a valid certificate will need to be tested on the spot at a charge per item (for which a certificate, valid for the period of hire of the Premises, will then need to be issued). Any testing costs and items failing the test must be replaced at the Supplier’s expense.
2.4 The Supplier agree to pay the Council, the cost of any damages to the building, goods, apparatus or appliance either of the Council or any other persons during the period of or arising from or in connection with using the premises, such costs to be reasonably assessed by the Council The Supplier shall have a right of appeal against the sum of the costs.
2.5 The Council, in its discretion, may require any supplier to insure with a responsible insurance company against the risks and require the supplier to produce evidence of the insurance policy. The Hirer in any event is responsible for procuring their own public liability insurance.
2.6 The Supplier will indemnify and hold the Council harmless in respect of any loss, theft or damage to any goods or property of the Hirer or any other person, left in or about the Premises.
3. GDPR Liability
3.1 The Supplier confirms that they are aware of data protection and GDPR legislation and will take responsibility for any breaches within our Town Hall or Registry Offices. Suppliers will not contravene this in respect of customers whose events are in any of Lambeth Council's buildings.
